When you install and use DealGuard, we collect the following information:

  • HubSpot portal information (portal ID, portal name, timezone)
  • Deal data relevant to approval routing (deal ID, deal name, deal amount, discount percentage)
  • Approval records (approval requests, approver actions, comments, timestamps)
  • User information from HubSpot (user ID, name, email address)
  • Billing information processed through Stripe (we do not store card details)

2. How We Use Your Information

We use the information we collect to:

  • Provide the approval routing service, including evaluating deals against your configured rules
  • Send email and Slack notifications to approvers and deal owners
  • Display approval status on HubSpot deal records
  • Maintain an audit trail of approval decisions
  • Process billing and manage your subscription
  • Communicate with you about your account, service updates, and support

3. Data Storage

Your data is stored in a Supabase-managed PostgreSQL database hosted in the EU (Frankfurt region). All data is encrypted at rest and in transit. We apply row-level security to ensure strict data isolation between HubSpot portals.

We retain your data for as long as your subscription is active. If you cancel your subscription, your data will be retained for 90 days to allow for reactivation. After 90 days, you may request permanent deletion of all your data by contacting us. We will process deletion requests within 30 days.

Under the General Data Protection Regulation (GDPR) and applicable data protection laws, you have the right to:

  • Access — Request a copy of the personal data we hold about you
  • Rectification — Request correction of inaccurate data
  • Deletion — Request deletion of your personal data
  • Export — Receive your data in a portable, machine-readable format
  • Restriction — Request that we limit the processing of your data

DealGuard uses session cookies only for authentication purposes. We do not use tracking cookies, analytics cookies, or any third-party advertising cookies. No cookie consent banner is required as we only use strictly necessary cookies.
